Refunds & cancellation

Scope

These terms apply to commissioned geographic sales heatmap reporting, territory balance reviews, quarterly density briefs, and optional Bristol desk walkthroughs from BrookPoint Desktop Ltd.

Deposit

A deposit (typically 40% of the accepted estimate) secures your place in the schedule. Deposits are refundable in full if we cancel the engagement. If you cancel more than ten working days before the agreed data-receipt date, we refund the deposit minus a £75 administration charge. Cancellations inside ten working days forfeit the deposit, because preparation and calendar space have already been reserved.

Work already started

Once we have begun data checking or map drafting:

• If you cancel, you remain responsible for fees covering work completed to that point, billed at the estimate’s daily equivalent, with a minimum of the deposit.
• If we cannot complete the engagement for reasons within our control, you may choose a full refund of sums paid or a revised delivery date at no extra fee.

Partial refunds

If a delivered pack is missing an agreed item listed on the estimate (for example, a promised hotspot tile), we will supply the missing item promptly or refund a fair portion of the fee attributable to that item.

Non-refundable items

• Third-party print-house fees already placed at your request
• Purchased boundary or base-map licence costs incurred specifically for your project and itemised on the estimate
• Desk walkthrough slots cancelled with less than 48 hours’ notice (the walkthrough fee is forfeited; report work continues under its own terms)

Quarterly briefs

Unused quarters on a prepaid four-quarter retainer may be refunded for unstarted quarters if you cancel in writing before the quarter’s data-receipt date, less any discount already applied to completed quarters.

Rescheduling

You may reschedule a data-receipt date once without charge with at least five working days’ notice. Further reschedules or short-notice changes may incur a £50 calendar fee.

No-shows

If a scheduled scoping or walkthrough call is missed without 24 hours’ notice, we may charge a £40 rearrangement fee.

Refund process and timing

Email hello@desktop-brookpoint.click with your estimate reference and reason. Approved refunds are processed within fourteen working days to the original payment method.

Exceptions

Force majeure events (including prolonged infrastructure outages preventing data transfer) may pause timelines without penalty to either party; extended pauses beyond thirty days allow either party to cancel with refund of unearned fees.
